Privacy Policy

The Pramukh is a society and apartment management platform. When a Pramukh (community admin) subscribes and creates a community, and when residents join it, we end up holding information about people, their homes and their society's records. This page explains what we collect, why we keep it, and how we handle it. We have tried to keep it in plain language instead of legal jargon.

This policy applies to our mobile application and website, together referred to as "the App" or "The Pramukh". By creating an account or joining a community, you agree to the practices described here.

1. Who is responsible for your data

The Pramukh operates the platform. For most of the day-to-day data inside a community - resident lists, maintenance entries, notices, chat - the Pramukh of that community is the person who decides what goes in and stays in. We store and protect that data on their behalf. For your own account (your login, your phone number, your profile) we are directly responsible.

2. Information we collect

Information you give us

  • Account details - your phone number (this is your unique identity on The Pramukh), your name, and optionally your email and profile photo.
  • Community details - when you create or are added to a community: your flat or plot number, block, floor, and whether you are an owner or a tenant.
  • Money records - maintenance amounts, what you have recorded as paid, dues, and the income-expense ledger of the community. Please note: The Pramukh does not collect maintenance money through the App. Residents pay outside the App (cash/UPI) and only a record of it is kept. We do not store your bank account or card numbers for maintenance.
  • Content you upload - documents (like a rental agreement), photos, complaint details, poll votes, visitor entries and chat messages.

Information we collect automatically

  • Basic device information (device model, operating system, app version) to keep the App working and to fix crashes.
  • Login and activity records - for money-related actions we keep an audit trail (who approved or edited what, and when), because transparency is the whole point of the App.

Payment information

The only online payment on The Pramukh is the subscription fee paid by a Pramukh to open a community. That payment is handled by our payment partners, PayU and Razorpay. Your card / UPI / net-banking details are entered on their secure pages - we do not see or store your full payment credentials. We only receive a confirmation of whether the payment succeeded.

3. Why we use your information

  • To create your account and let you log in with your phone number and OTP.
  • To run the community - show the right flats, dues, ledger, chat and notices to the right people.
  • To keep each society's data separate. Every record is tied to a community, and one society can never see another society's data.
  • To send notifications about pending maintenance, dues, complaints and messages.
  • To take subscription payments and issue receipts.
  • To keep the platform secure and to investigate misuse.

4. What residents can and cannot see

Inside a community, the App is deliberately built for transparency in money matters - the ledger, who paid, and community expenses are visible to members. At the same time:

  • A resident cannot see another resident's phone number. Name, flat number and group chat are shared; the number is not.
  • Personal documents you upload stay private to you. A rental agreement is visible to the Pramukh, because that is how tenancy is verified.
  • Group chat is visible to the group. There is no one-to-one private chat on The Pramukh.

5. Who we share information with

We do not sell your data. We share it only where it is needed to run the service:

  • Payment partners (PayU, Razorpay) - to process subscription payments.
  • Cloud, storage and notification providers - to host the App, store files and send push notifications.
  • Legal authorities - if we are required by law, a court order, or to protect the safety of users.

6. Storage and security

Community files and chat media are kept within a storage limit of 50 GB per community, with a maximum of 50 MB per file. We use reasonable technical and organisational measures to protect data, including access controls and encrypted connections. No system is perfectly secure, but we work to keep your information safe and to fix issues quickly.

7. How long we keep data

We keep your account and community data for as long as your account is active or the community is running. If a community is closed or an account is deleted, we remove or anonymise the data after a reasonable period, except where we must keep certain records (for example, payment records) to meet legal and accounting requirements.

8. Your choices

  • You can view and edit your profile from within the App.
  • You can ask us to delete your account. If you are a Pramukh, please note that closing your account may affect the community you manage.
  • You can turn off notifications from your device settings.

9. Children

The Pramukh is meant for adults managing their homes and societies. It is not intended for use by children under 18 on their own.

10. Changes to this policy

We may update this policy as the App grows. When we make an important change, we will update the date at the top and, where needed, notify you in the App.
